Migration to SharePoint document management is often regarded as the most effective action for businesses in this predicament

Share documents outside of your organization

External users are typically suppliers, consultants, and customers with whom you wish to share documents from time to time

SharePoint Online owners with Full Control permission can share documents with external users. External users can be added to visitor or member user groups to better manage document sharing permissions.

Share guest links. A guest link can be shared via email to view documents from a SharePoint Online document library. To reduce the risk of sharing documents with anyone else, you can require external users to sign in. This step requires that people in the Visitors permission group (or unauthorized users with access) be set up to ensure guest links cannot be accessed. Opened by anonymous users

Sharing with members. If external users have an Office 365 subscription or are members of your site, you can require them to sign in before accessing shared documents. This step assumes you have added a member permissions group. External users without Microsoft Office can download the file as long as they have read access

Share the public link from OneDrive for Business. OneDrive is a document storage area found in Office 365 if your service has been upgraded. It is best to use OneDrive to share files with external public users separate from the SharePoint Online document library. OneDrive can be thought of as the final version of a document for public viewing - to post it as a link from a website or blog, for example. A SharePoint Online document library can be the source, so create a copy for OneDrive to help you distinguish the two areas, if you choose to use OneDrive in this way

Data use and storage

To share a document, view a document thumbnail, or preview a document from Microsoft OneDrive or SharePoint Online, Webex uses the drive ID, item ID, document title, and the absolute or shared URL of a document. This data is stored in the Webex Cloud for any document shared using Webex. Shared Microsoft OneDrive or SharePoint Online file content in a Webex space is never stored in the Webex Cloud

The data we store relating to documents is treated as sensitive information. Fotopia always encrypts sensitive data (such as drive identifier, object identifier, document title, or links) before it is sent to the Fotopia Cloud. This means that only encrypted document data is transmitted or stored in Fotopia Cloud services

To encrypt data, Fotopia uses the Fotopia Cloud encryption service. Key management is provided either by a cloud key management server (KMS), or by your own on-premises key management system if you choose a Hybrid Data Security deployment. For more information, see the Fotopia Application Security Sheet

Fotopia independently caches data locally on user devices. This data is encrypted at rest on the device. For more information about Fotopia cachingHome ⁄ internet tips ⁄ How to move files in SharePoint to make them more organized? Helpful guide
